RULES AND REGULATIONS

CHAPTER I – GENERAL PRINCIPLES

Article 1. Objective and Purpose
Regulate the institutional, operational, administrative, and behavioral functioning of Aerocaribbean Virtual Airlines (hereinafter "the VA"), ensuring a professional, ethical, and safe environment for all members, in accordance with international flight simulation standards.

Article 2. Scope and Application
These regulations are mandatory for all members: pilots, operational staff, and the Board of Directors.

Article 3. Nature of the VA
Aerocaribbean Virtual is a non-profit organization dedicated to flight simulation in virtual environments for educational and recreational purposes.

Article 4. Languages
The official language of communication is Spanish. Functional English proficiency is required for international flights. English is the universal language of aviation and its use is mandatory when controllers speak it.

Article 5. Legality and Intellectual Property
The VA rejects all forms of piracy or use of unauthorized software. All copyrighted content must be used legally. CHAPTER II – PILOT REGISTRATION AND ADMISSION

Article 6. General Admission Requirements

  • 6.1 Be at least 16 years old.
  • 6.2 Hold an active IVAO account.
  • 6.3 Not be part of another VA’s staff.
  • 6.4 Have basic prior experience with simulators.
  • 6.5 Have a valid email address.
  • 6.6 No record of expulsion for misconduct in other communities.

Article 7. Accepted Simulators
The accepted simulators are:

  • FS2004 (FS9)
  • FSX (including Steam Edition)
  • Microsoft Flight Simulator 2020 (MSFS)
  • X-Plane (v11 or higher)
  • Prepar3D (all versions)

Article 8. Admission Process
The admission process has five steps:

  • Step 1: General aviation and VA knowledge test. Must score at least 70%.
  • Step 2: Registration on the web platform.
  • Step 3: Staff data review.
  • Step 4: Virtual interview (written or live).
  • Step 5: Final decision and account activation.

CHAPTER III – ADMINISTRATIVE ORGANIZATION

Article 9. Directive and Functional Structure
Aerocaribbean Virtual is organized into two administrative levels:

  • 9.1 Board of Directors (Permanent Directors)
    • CEO – General Director: Responsible for final decisions, institutional vision, and official representation before IVAO and other entities.
    • COO – Operations Director: Oversees routes, fleet, flights, and reporting systems.
    • CTO – Technology Director: Manages the web infrastructure, automations, and technical support.
    • HRD – Human Resources Director: Handles recruitment, pilot follow-up, sanctions, and internal support.
    • EMD – Events and Marketing Director: Plans official events, promotes campaigns, strengthens public relations, and manages social media.
  • 9.2 Operational Staff (Support Team)
    • Training Officer
    • Events and Tours Coordinator
    • Liveries and Visual Design Manager

Article 10. Functions of the Board of Directors

  • Approve and amend regulations.
  • Manage institutional operations.
  • Represent the VA in external networks.

Article 11. Functions of the Operational Staff

  • Monitor flight operations.
  • Verify monthly reports.
  • Assist pilots with support and regulations.

CHAPTER IV – OPERATIONS AND FLIGHTS

Article 12. Fleet and Callsign

  • 12.1 All operations must be performed with VA-authorized aircraft.
  • 12.2 Use only the CRN callsign followed by the assigned number.
  • 12.3 It is forbidden to use Aerocaribbean Virtual’s callsign for flights outside the VA.

Article 13. Authorized Flight Types

  • 13.1 Regular flights assigned by the platform.
  • 13.2 Previously approved charter flights.
  • 13.3 Special or official event flights.
  • 13.4 Authorized training flights.
  • 13.5 Officially assigned or scheduled Tour flights.

Article 14. Additional Operational Rules

  • 14.1 Flights are only authorized on the IVAO virtual network.
  • 14.2 Use of ACARS tracking software is mandatory for all flights. Manual reports must include justification comments.
  • 14.3 Pilots may fly any aircraft in the regulated fleet regardless of their rank.
  • 14.4 Flying OFFLINE is prohibited unless previously authorized by staff.
  • 14.5 The maximum landing rate allowed is -700 fpm for flight approval. Exceeding this will invalidate the report.

Article 15. Ranks and Virtual Pay System
Promotions occur automatically upon reaching required hours. The virtual pay system is as follows:

CHAPTER V – CONDUCT AND SANCTIONS

Article 16. Expected Behavior

  • 16.1 Every member must act with respect, courtesy, and professionalism.
  • 16.2 The use of offensive or inappropriate language is prohibited on official platforms or flight networks.

Article 17. Classification of Offenses
Minor: incorrect use of callsign, minor report errors.
Serious: disrespect to ATC, flight abandonment, spamming channels.
Very serious: identity theft, defamation, log manipulation, trolling or sabotage.

Article 18. Applicable Sanctions

  • 18.1 Written warning.
  • 18.2 Account suspension for up to 30 days.
  • 18.3 Permanent expulsion.

Article 19. Pilot Rights

  • 19.1 Right to be heard and present a statement.
  • 19.2 Right to receive support and assistance from staff.
  • 19.3 Right to participate in activities and flights.

Article 20. VA Responsibilities

  • 20.1 Provide a safe, fair, and professional environment.
  • 20.2 Respect pilot privacy and data.
  • 20.3 Offer clear information about rules and operational changes.

CHAPTER VII – FINAL PROVISIONS

Article 22. Reforms and Validation
This regulation may be reformed by collective decision of the Board of Directors and will take effect upon publication.

Article 23. Acceptance
Every pilot accepts this regulation upon official registration with Aerocaribbean Virtual.

Article 24. Supplementary Documents
The VA reserves the right to issue manuals, internal regulations, operational circulars, instructions, and any other supplementary documents necessary to ensure proper execution of its activities. These documents will be mandatory once published through official organizational channels.

Article 25. Validity and Exceptions
This regulation replaces all previous versions. Any situation not covered in this document will be resolved by the Aerocaribbean Virtual Board of Directors.
